The school year as one record, not five spreadsheets

The first App on the platform and still the largest. EduSuite runs the whole academic session: the enquiry that arrives in April, the invoice that goes out in May, the absence marked in July and the report card published in September, all bound to the same session so last year stays readable and this year stays correct.

A parent who also borrows from a lender on the platform signs in once. The marksheet lands in their own document vault, so changing school is a new pointer rather than a re-upload.

Fee collection, class attendance and the academic record read from one row, not three exports.

A class registry. Fee status and attendance read from the same row as the admission number.

What it does across a session

Each of these exists because a school year requires it, and most of them are the reason a general-purpose billing package does not fit a school.

01

Admissions that end in an enrolled student

An auditable Inquiry, Offer, Enrolled state machine, with admission numbers allocated from your own template rather than a global sequence.

  • Admission-number grammar: {YY} {MM} {NNN+} {CLASS} {SECTION}, allocated under a row lock so concurrent admits never collide
  • APAAR ID validated with a Verhoeff checksum on write, masked in every log
  • CSV bulk import with dry-run then commit, preserving the numbers your school already issued
  • WhatsApp confirmation at each transition, where the parent number is on file

02

The fee engine Indian schools actually use

Lumpsum, installments, term-wise and monthly, mixed per fee head, because real schools bill transport monthly and tuition termly.

  • Oldest-first payment allocation, so the ledger stays honest
  • Discount grants and rules freeze into the invoice snapshot at issue time
  • Issued invoices are immutable; corrections go out as adjustment invoices
  • Razorpay confirmed by webhook, never by the browser callback
  • Full-waiver scholarships pass through as zero-rupee WAIVED invoices, not deleted rows

03

Attendance, exams and the record that outlives you

Everything bound to an academic session, and the parts that belong to the student follow the student.

  • Daily and period attendance, with an absence fanning out to the parent feed
  • Exams, marks, weighted grades and rank-carrying report cards as PDF
  • Student lifetime record on the person plane: it survives a change of school
  • Staff attendance, salary slips and vehicle records for the office side

One login. Isolated database schemas.

Hot-swap between a school registry, a pharmacy counter, a shop’s bills or a clinic reception desk without signing in again. Each organisation keeps its business data in its own Postgres schema with row-level security on every table, so one account reaching two organisations never means one database holding everything in a column.

Switch the organisation below to see which navigation and which records the same login is given.

What is not in it

Worth saying plainly, so nobody discovers it after signing.

  • Timetable construction and transport route planning are not in it. Vehicle records and staff attendance are.
  • There is no learning management system and no online exam delivery. EduSuite runs the office, not the classroom.
  • Fee collection online is Razorpay. A school that wants a different gateway is a conversation, not a setting.
